Handling of Personal Information

ACTIVE INNOVATION CREATE CO., LTD. (hereinafter referred to as “the Company”) respects the privacy of individuals who apply for our recruitment and hiring initiatives (collectively referred to as “the Service”) as well as those who contact the Company (hereinafter referred to as “Users”), and will handle their personal information (as defined below) with the utmost care and attention.

Personal Information

Personal information refers to information related to an individual User, including but not limited to name, address, phone number, email address, and school name, which can identify the User. Even if the information alone cannot identify the User, it is considered personal information if it can easily be compared with other information to eventually identify the individual.

Acquisition of Personal Information

The Company will, in principle, acquire the following personal information for the purpose of recruitment selection. Additionally, the Company may record or videotape interviews and other proceedings when acquiring personal information.

A. Information such as name, age, address, gender, date of birth, phone number, email address, educational background, work history, qualifications held, current annual income, desired annual income, and any other information specified by the Company and its group companies

B. Any information included in documents provided by the User to the Company and its group companies for the purpose of applying for recruitment activities, regardless of format, such as resumes, work history, entry forms, and questionnaires

C. All content of any form of communication between the User and the Company and its group companies, including conversations, correspondence, and telephone calls

D. Any information obtained by the Company and its group companies through background checks, reference checks, and other verification procedures for recruitment selection

E. Records of applications and participation in recruitment activities, and the results of the selection process

A. Review and decision of employment conditions, review and decision of acceptance/rejection, confirmation of application history, investigation of the applicant’s job history and background, and other necessary procedures for the recruitment selection process.

B. Guidance on necessary matters related to joining the company after the hiring decision, and other necessary procedures for this purpose.

C. Human resources and labor management after joining the company.

D. Management of the candidate pool and notification of future job information of our company and our group companies.

E. Management of re-application status and reference information for recruitment selection in case of re-application.

F. Implementation of career events, recruiting measures, hiring activities, other HR-related improvements and planning, and analysis and consideration for these purposes, as well as conducting surveys and other various measures for these purposes.

G. Notifications of events such as lectures and study sessions by our group companies, surveys, email newsletters, and other information distribution.

H. Administrative communication and response to inquiries.

I. If the user applied or participated through an employment agency, intermediary, or other introducer (hereinafter referred to as “introducers”), provision of information to the introducers for the purpose of achieving the above purposes.

In addition, if a person who has participated in our recruitment-related measures in the past applies for a job with us, the information collected in relation to the said measures may be used as reference information in the selection process.

Furthermore, for the purposes of achieving the above purposes A, C, and F, the following types of AI-based analysis and profiling may be conducted.

Recruitment Selection and Post-Entry Job Assignment Based on Analysis and Forecasting of User Suitability and Career Trends for Our Company’s Operations:

Analysis and forecasting of job applicants’ and employees’ career trends for the improvement and planning of our recruiting measures, hiring activities, and other HR operations.

Note: In such cases, we will not use sensitive personal information (as defined by the Personal Information Protection Law).

Retention Period of Personal Information

We will retain personal information for the period necessary to achieve the purposes of use stated above.

Please note that after the termination of the Services, we will not retain personal information for the purposes stated above. However, if an applicant is hired by the Company, the personal information collected during the recruitment process will become part of our human resources management information and will continue to be retained throughout the period of employment.

Voluntary Provision of Personal Information

You are not necessarily required to provide all the information we request, but failure to provide certain information may result in the inability to receive our services.

Provision of Personal Information to Third Parties

We generally do not provide personal information to third parties beyond the scope of the purposes outlined in the “Purpose of Use of Personal Information” without the user’s consent. We will only provide personal information to third parties after specifying the recipient and the information provided and obtaining the user’s consent. However, we may provide personal information without the user’s consent within the scope not contrary to applicable laws and regulations under the following circumstances:

A. If it is judged that it will disadvantage a third party user

B. When it is particularly necessary for the improvement of public health or the promotion of healthy upbringing of children, and obtaining the user’s consent is difficult

C. When it is necessary to cooperate with national agencies, local governments, or their delegates in performing duties prescribed by law, and obtaining the user’s consent may hinder the performance of those duties

D. When disclosure of personal information is requested by a court, prosecutor’s office, police, or similar authority

E. When explicitly requested by the user to disclose or provide information to a third party

F. When disclosure or provision is permitted by law

G. When providing personal information due to business succession or other reasons, and it will be handled within the scope of the purposes before the succession

Disclaimer regarding third-party provision

In the following cases, we are not responsible for the acquisition of personal information by third parties.

A. If a user voluntarily discloses personal information to recruiting companies or other entities using the functions of this service or through other means (Please note that regarding the handling of personal information by recruiting companies or other entities, please contact each entity directly).

B. If an individual unintentionally becomes identifiable through the information entered into this service.

C. If personal information is provided by the user on external sites linked from this service, and if it is used.

D. If information that can identify the user (such as ID or password) is obtained by someone other than the user themselves.

Use of Processed Statistical Data

We may create statistical data processed in a way that individuals cannot be identified based on the provided personal information. Regarding statistical data where individuals cannot be identified, we may use it without any restrictions.

Changes to Personal Information

In principle, only the user themselves may request changes to personal information (“Changes to Personal Information”), including notification of the purposes of use and security measures, disclosure of registered personal information, correction, addition, or deletion of personal information, suspension of use, disclosure of records of third-party provision, and suspension of provision to third parties. Please contact the personal information management contact below for specific procedures. However, we may not comply with requests for changes to personal information in the following cases:

A. If there is a risk of harming the life, body, property, or other rights or interests of the user themselves or a third party.

B. If there is a significant risk of seriously impeding the proper implementation of the Services.

C. If it would violate other laws.

Additionally, we may not comply with requests for changes to personal information if it requires a significant expense or if it is difficult to make such changes, and alternative measures necessary to protect the rights and interests of the user are taken.

Accuracy of Personal Information

We strive to process the personal information provided to us accurately. However, users are responsible for ensuring that the personal information they provide is accurate and up to date.

Restrictions on Acquiring Sensitive Personal Information

We generally do not acquire sensitive personal information through the Services. However, this does not apply if users provide such information voluntarily. Please note that there may be instances where we need to acquire sensitive personal information for the purposes stated in the “Purposes of Use of Personal Information” section, as the recruitment process progresses, in accordance with laws and guidelines.

Identity Verification

When using our services, we may verify your identity by using identifiable information (such as name, address, telephone number, date of birth, email address, member ID, password, etc.) when responding to requests for disclosure, correction, deletion, or suspension of use of personal information. However, we do not take responsibility if someone other than the individual obtains and uses identifiable information.

Except where required by law, we reserve the right to change the privacy policy at any time.
